Three things that quietly cost every board

We talked to clubs across DE, AT and CH. The same three problems keep coming up.

  • Spreadsheets nobody understands anymore

Roster in file A, fees in file B, bank reconciliation in online banking. When the treasurer changes, someone starts from zero again.

  • SEPA direct debits done by hand

Click together a pain.008 file, hunt down mandate references, reconcile R-transactions manually. One quarter of bookkeeping turns into two weekends.

  • GDPR obligations without tooling

Subject access requests, deletion requests, processor agreements with vendors — every board knows the duty, few have the paper trail.

MemberCore solves exactly these three — and only these three first.

What MemberCore takes off your plate

Concrete functions that lighten the load on volunteer boards — not ten more spreadsheet views.

  • Members and membership types

Roster with statuses, tags, custom fields; membership types with age and family rules. Transitions and pauses are versioned.

  • SEPA direct debit, bank-native

Capture mandates, generate pain.008, reconcile R-transactions. Manual invoice option — no payment processor required.

  • GDPR tooling

Article 28 DPA, per-member data export, field-level audit log. Clear legal basis on every record.

  • Member portal

Members maintain their own data, see open dues, submit IBAN updates — your board stops fielding email threads.

  • Insights for the board

Active members, collection rate, missing mandates — on one page. No pivot tables, no exports.

  • Newsletter, news, surveys

Marketing-consent-aware sends, club news with read receipts, surveys for AGMs — built in, not bolted on.

From first call to first collection

  1. 1

    30-minute demo

You walk us through your current workflow; we show you where MemberCore returns three hours per month.

  2. 2

    Setup with data import

We import your existing roster (CSV is fine), load your membership types, and validate your SEPA configuration.

  3. 3

    First collection, supported

We're on call for your first real direct-debit run. After that, every cycle follows the same flow — and you keep a complete audit trail.

Questions we get on first calls

What does MemberCore cost?

Pricing is sales-led — we walk through it on the demo call so we can match it to your club's size and workflow. Pilot clubs receive extended terms; mention this in the demo.

Can we keep our existing data?

Yes. CSV import works out of the box; for messier sources (Vereinsplaner, easyVerein, custom Excel) we help with the mapping.

How does the SEPA direct debit actually work?

MemberCore generates a pain.008 file you import in your club's online banking. Mandates, references and returns live in the system — no payment processor needed.

How secure and compliant is this?

EU hosting, an Article 28 DPA, TOTP MFA for board accounts, RLS-isolated data per club. Privacy-policy templates should still be reviewed by your own legal counsel.

How long does setup take?

Typically under two weeks from the demo call to your first real collection — depending on how clean your current roster is.

Ready for a first conversation?

30 minutes. No commitment. Concrete setup plan.

On the demo call we show the product against your real workflow and follow up with a written setup plan — you decide afterwards.
